Construction sites generate daily work reports that record essential information such as work progress, resource deployment, weather conditions, and special issues. Despite their importance, these reports are often managed in handwritten or semi-structured digital formats, making systematic analysis and real-time utilization difficult. The lack of standardized documentation further limits the effective reuse of accumulated data for construction management and decision-making.
To address these challenges, this study proposes an AI-based question-and-answer system that automatically analyzes unstructured daily work reports and provides contextual responses in natural language. The system adopts a Retrieval-Augmented Generation (RAG) architecture, integrating embedding-based document retrieval with a large language model to enable accurate, context-aware answers grounded in actual site records.
The proposed system was validated using 30 days of Excel-based daily reports from a civil engineering project. Key information, including dates, work types, and resource inputs, was extracted, segmented into semantic units, vectorized, and stored in a FAISS-based database. Users can submit natural language queries through a web interface, and the system retrieves relevant document segments and generates responses using a GPT-based model. To improve reliability, rule-based numerical responses and generative language outputs were combined to handle both quantitative and qualitative queries.
Experimental results demonstrated high accuracy and consistency for date-specific and resource-related questions, as well as stable performance for rephrased queries. However, limitations were identified in responding to inferential questions or queries involving information not explicitly recorded in the reports. Despite these limitations, user feedback indicated that the system is practical and usable in real construction site environments.
This study confirms the feasibility of transforming unstructured daily work reports into reusable data assets through AI-driven analysis and interaction. The proposed approach provides a foundational step toward data-driven construction management and highlights the potential for integrating RAG-based AI systems into future digital construction management platforms.
